Terms of Service
Last updated: 12 October 2026
Welcome to Ring Catering. These Terms of Service outline the conditions under which we provide our catering services and explain the responsibilities of both Ring Catering and our clients.
By enquiring about, booking or using our services, you agree to the terms outlined below. We encourage all clients to read these terms carefully before confirming a booking.
1. Our Services
Ring Catering provides catering services for weddings, private parties, corporate events and other occasions. Our services may include menu planning, food preparation, delivery, setup, serving staff and other event-related arrangements, depending on the requirements agreed with each client.
Every event is different, and our services are tailored to the client's needs, preferences, guest numbers and budget.
2. Enquiries and Quotations
When a client contacts us, we discuss the event details, including the date, venue, estimated number of guests, menu preferences, service requirements and available budget.
Based on this information, we prepare a quotation outlining the proposed services and associated costs.
All quotations are based on the information available at the time they are prepared. If the event requirements change, the original quotation may need to be revised.
A booking is considered confirmed once the agreed arrangements have been accepted and any required deposit or initial payment has been made, as specified in the quotation or booking agreement.
3. Pricing and Payments
We aim to communicate all costs clearly before a booking is confirmed.
Depending on the event, the quotation may include food, ingredients, staffing, equipment, delivery, setup and other agreed services. Any applicable additional charges will be discussed with the client before they are incurred.
Payment amounts, due dates, deposit requirements and the final balance will be communicated as part of the booking arrangements.
Clients are responsible for making payments according to the agreed schedule. Any changes that affect the total cost will be discussed and agreed upon before the revised arrangements proceed.
4. Changes to Bookings
We understand that event plans can change. Clients should notify us as early as possible if they need to amend the event date, venue, guest numbers, menu or service requirements.
We will make reasonable efforts to accommodate requested changes, subject to availability and the stage of preparation.
Changes may affect pricing, staffing, ingredient purchases or the availability of particular menu items. Any revised costs and arrangements will be communicated to the client for agreement.
Changes cannot be guaranteed once preparations or other event-specific commitments have begun.
5. Cancellations and Refunds
If a client needs to cancel a booking, they should contact Ring Catering as soon as possible.
Deposits, payments and any applicable refunds will be handled in accordance with our Return and Refund Policy, the agreed booking terms and applicable UK law.
Where preparations have already begun or costs have been committed specifically to an event, these circumstances may affect the amount refundable, subject to the client's legal rights.
If Ring Catering needs to cancel a confirmed booking, we will contact the client as soon as reasonably possible to discuss the available options and any refund due.
6. Client Responsibilities
To help ensure the event runs smoothly, clients are responsible for providing accurate and timely information, including:
-
The event date, location and expected number of guests.
-
Dietary requirements, food allergies and other relevant guest needs communicated to us.
-
Venue access, setup times and any applicable restrictions.
-
Any special requests or changes that may affect the agreed arrangements.
-
Timely payments in accordance with the booking agreement.
Clients should inform us of known food allergies and dietary requirements as early as possible. Although we will take reasonable steps to address requirements agreed in advance, we cannot guarantee an allergen-free environment unless this has been expressly agreed and can safely be provided.
7. Our Responsibilities
Ring Catering will make reasonable efforts to deliver the agreed services professionally and in accordance with the confirmed booking arrangements.
We aim to maintain appropriate standards of food preparation, hygiene, presentation and service. We will communicate with clients about relevant changes or issues that may affect their event.
Where a particular ingredient, dish, item of equipment or service becomes unavailable, we will discuss a suitable alternative with the client wherever reasonably possible.
8. Event Venues and External Factors
Some aspects of catering depend on the venue and other arrangements outside our direct control.
Clients are responsible for ensuring that any required venue permissions, access arrangements and facilities are in place unless these responsibilities have been expressly agreed with Ring Catering.
We will communicate any requirements relating to kitchen access, power, water, setup space, serving areas or other facilities relevant to the agreed service.
Where circumstances outside either party's reasonable control affect an event, both parties should communicate promptly and make reasonable efforts to agree on an appropriate solution.
9. Food Allergies and Dietary Requirements
We ask clients to provide accurate information about allergies, intolerances and dietary preferences before the event.
We will discuss the available options and take reasonable precautions in line with the arrangements agreed. However, clients should notify us of any particularly serious allergy or cross-contamination concern in advance so that we can assess whether the requested catering can be provided safely.
We reserve the right to explain any limitations where a dietary requirement cannot be accommodated safely.
10. Complaints and Service Concerns
If a client has a concern about our food, service or agreed arrangements, they should contact us as soon as possible, ideally during the event where practical, so that we have an opportunity to address the issue.
We will review complaints fairly and work with the client towards an appropriate resolution.
Any refund or other remedy will be considered in accordance with the circumstances, the booking agreement and applicable law.
11. Website Information
We aim to ensure that the information, menus, photographs and service descriptions displayed on our website are accurate and up to date.
Photographs are intended to illustrate our food and presentation. Actual dishes may vary slightly depending on seasonal ingredients, availability and the specific arrangements agreed for an event.
The final menu, service details and pricing will be determined by the confirmed quotation or booking agreement.
12. Limitation of Liability
Ring Catering will provide its services with reasonable care and skill and in accordance with applicable law.
Nothing in these Terms of Service excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any consumer rights that cannot legally be excluded or restricted.
Subject to these requirements, any other limitations of liability will be governed by the applicable booking agreement and relevant law.
13. Privacy and Personal Information
We use personal information provided by clients to respond to enquiries, prepare quotations, manage bookings and deliver our services.
Personal information will be handled in accordance with our Privacy Policy and applicable UK data protection legislation.
14. Changes to These Terms
We may update these Terms of Service from time to time to reflect changes to our services, booking procedures or legal requirements.
The applicable terms for a confirmed booking will be subject to the agreement with the client and any legal requirements governing changes to those terms.
15. Governing Law
These Terms of Service are governed by the laws of England and Wales, where applicable, subject to any mandatory consumer protection laws that apply to the client.
Nothing in these terms removes any rights a consumer may have under applicable law.
